Privacy Policy
Last updated September 8, 2026. This policy explains what Veris Financials, a DBA of M&R Business Solutions LLC, collects, why, and what you can ask us to do about it.
What we collect
Two categories, and they are treated very differently.
Inquiry data
When you submit the contact form we collect your name, email address, and location, plus optionally your company, phone number, the service you are interested in, and whatever you write in the message field. We collect it because we cannot reply to you without it.
Client financial records
Once you engage us, we process the accounting records you send us: bank statements, invoices, payroll data, tax documents and ledger access. We process this on your instruction, as your service provider, for the purpose of performing the engagement and for no other purpose.
Site analytics
We use Google Analytics 4 to count visits and see which pages people actually read. It tells us that a page was read and roughly where in the world from; it does not tell us who read it. We do not advertise, we have not turned on ad personalization or advertising data sharing, and we do not sell data to anyone.
Nothing is stored on your device until you say yes. On your first visit a banner asks. Until you answer, Google Analytics runs without cookies — it records that a page was viewed and nothing that could follow you between visits. If you accept, it sets two first-party cookies, _ga and _ga_<id>, which expire after two years and let us tell a returning visitor from a new one. If you decline, we do not load Google Analytics at all: no cookie, and no request to Google from your next page view onward.
Google receives your IP address and general device information as part of the measurement, acts as our processor for it, and may process it outside your country. Google deletes the underlying event data on the retention schedule set on our property; only aggregate reports outlive it.
Your answer is stored in your own browser, not on our servers, and you can change it whenever you like.
Everything else the site needs — fonts, stylesheets, scripts, images — is served from this domain.
Why we can process it
- To reply to you. Because you asked us to, by submitting the form.
- To perform the engagement. Because we have a contract with you.
- To meet our own legal obligations. Record retention, anti-money-laundering checks and tax law.
- To measure the site. Only if you consent, and only for as long as you leave that consent in place.
Who else sees it
Your data is accessible to Veris personnel assigned to your engagement, on a role-based basis, and to the software platforms the engagement runs in, which are the ones you already use: QuickBooks, Xero, Sage 50, Zoho Books, Gusto, ADP, Dext.
Preparation work is carried out by our delivery team outside the United States, under contract and subject to the same confidentiality obligations as our US staff. That is a cross-border transfer, and we name it here rather than leaving it implied.
If you accept analytics, Google sees that a browser in your region requested particular pages on this site. It never sees anything you type into the contact form, and it is not given your name or email address.
The contact form is delivered by Web3Forms, which receives what you type into it and forwards it to us by email. That is the only third party involved in running this website, and it only ever sees a form you chose to submit — never your browsing.
We do not sell your data. We do not share it for advertising. For white-label CPA firm engagements, we never contact your clients.
How long we keep it
Inquiry data that does not become an engagement is deleted within 24 months. Client financial records are retained for seven years after the engagement ends, which is the period US tax record-keeping rules require, unless you instruct us otherwise in writing and the law permits it.
How it is protected
- Encrypted transfer for all client files.
- Role-based access, revoked when an engagement or a role ends.
- Signed NDAs and data processing agreements before any file moves.
- US-managed review of work before release.
Your rights
You can ask us for a copy of what we hold about you, ask us to correct it, ask us to delete it where no legal retention duty applies, and object to a particular use. Depending on where you are, those rights come from different laws, but our answer is the same: email info@verisfinancials.com and we will respond within 30 days.
